Student Complaints and Suggestions Mechanism

The college is your second home, and those who are present in it are concerned only with keeping your interests into account through several mechanisms, including the Student Complaints Mechanism, which aims to include your complaint regarding a matter that you consider diminished your rights. If your complaint carries honesty, credibility, and transparency, make sure that it is quickly and decisively studied, and you will get your right entirely.

A committee has been set up to deal with student complaints and examine them in a way that reaches a solution for the student problems impartially without the student being wronged as a result of his complaint.

First: The Target 

• The college aims to provide its services at the highest level and therefore the college encourages students to submit any complaint in order to pursue a solution and reduce any negative impact on the lives of students at the college.

• Every student at the college has the right to file a complaint if he is dissatisfied with the quality of any service provided by the college, whether that complaint is related to academic or non-academic aspects. Once he submits the complaint, it will be verified.

• Student complaints procedures include feedback from students on the services provided by the college. Therefore, this process is regarded as an important source for improving the utilities provided by the college to its students. The faculty members are invited to cooperate with students, examine their complaints, and respond to any outcome of the investigation of these complaints.

• The complaint submitted by students is determined in full confidentiality and ensures that the student is not harmed by his complaint.

Second

• A Complaints and Suggestions Box has been established for students to present and discuss any lodged complaints submitted. And, to offer their suggestions and express their opinions on the progress of the educational process.

• The Complaints and Suggestions Committee has been formed.

Third: The manner of receiving Student Complaints and Suggestions

Complaints are received through:

• The Complaints and Suggestions Box is located at the main entrance of the college.

• Complaints are also received at the Secretariat Office of the Vice Dean for Education and Student Affairs by filling out (Complaint Form).

• Through discussions between students and the college administration during seminars, public lectures, or meetings that college administration holds with students.

• Receiving complaints through the academic advising provided by faculty members to students at the college.

• Receiving complaints and suggestions electronically through Microsoft Teams – WhatsApp groups- E-mails

Fourth: The Mechanism of Complaints and Suggestions Committee and that is as Follows

a-Opening the boxes and collecting complaints.

The Complaints and Suggestions Box is opened whenever necessary by the committee.

b-Examining and Reviewing the complaints and taking decisions:

• The complaints are sorted according to the following findings to (complaints that represent suggestions, complaints that represent praise, and ordinary complaints) and examined by the Complaints and Suggestions Committee which is set up for this purpose to identify the concerned authority to deal with the complaint and determine the period of time required to respond to it, if possible.

• Sending a copy of the complaint to the authority concerned with the complaint and following up on the progress of the complaint.

• Following up on the response with the complained party within the period of time specified for the complaint.

• When a response is received from the concerned authority, the complainant will be answered by the committee.

• If the complaint is related to any member of the Complaints and Suggestions Committee, the relevant member will be excluded so that the subject of the complaint can be discussed about him.

• When proposals are received by the box, they are studied by the committee.

• Complaints received by study classes are discussed with the Vice Dean for Education and Student Affairs and presented to the College Council if necessary.

• Complaints are treated seriously, transparently and impartially, while ensuring that they do not affect the nature of the relationship with the complainant.

• Consultation takes place between the committee chairman and the college administration if required to solve some problems that require the management’s view to be resolved exclusively.

c-Following up the decisions taken regarding student complaints.

• The committee contacts students with complaints to inform them of what has been done regarding their complaint through one of the following means:

• Personal contact with the student complaining.

• Electronically, through Microsoft Teams – WhatsApp – E-mails

Fifth: Announcing the Committee’s Activity and Tasks by  

• Holding a meeting with all new and old college students at the beginning of each semester to inform them of the committee’s activity, its work tasks, and the work team.

• Announcing Student Complaints and Suggestions mechanisms on the college website.

Sixth: Outcomes 

The committee meets periodically when necessary, and a report is written explaining the committee’s activity and the decisions it has taken in solving students’ problems in the college, and it is presented to the college management.
